Privacy Policy

Last updated: 3 November 2026

This policy explains how TJURADO Translation Services Ltd, trading as TJURADO Translation (“TJURADO”, “we”, “us”), collects and uses personal data when you visit tjuradotranslation.co.uk or losjuradostranslations.uk, contact us, use our website assistant or use our translation services. We follow the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

TJURADO Translation Services Ltd is the data controller for the personal data described in this policy. It is a private limited company registered in England and Wales, company number 13775022.

  • Registered office: Premier Business Centre, 47–49 Park Royal Road, London NW10 7LQ, United Kingdom
  • Email: info@tjurado.com
  • Phone / WhatsApp: +44 7783 437077

For any privacy question or request, email info@tjurado.com with “Privacy” in the subject line.

2. What data we collect

  • Contact and quote details — your name, email address, phone or WhatsApp number, the type of document, the language pair and your deadline, when you request a quote by form, email, phone, WhatsApp or our website assistant.
  • Documents you send us for translation — copies of certificates, identity documents, academic records, medical records, police certificates, financial or legal documents. These can contain sensitive information (for example health data or criminal records data).
  • Order and payment records — what you ordered, invoices and payment confirmations. We do not store full card details.
  • Website assistant conversations — the messages you type into the AI assistant on our website.
  • Technical and usage data — pages visited, device and browser type and approximate location, collected through cookies and similar technologies (see section 8).

3. Why we use your data and our lawful basis

  • To answer your enquiry and give you a quote — steps taken at your request before entering into a contract (Article 6(1)(b)), or your consent where you give it through our website assistant (Article 6(1)(a)).
  • To translate, certify and deliver your documents — performance of our contract with you (Article 6(1)(b)). Where your documents contain special category or criminal records data, we process it only to provide the service you asked for, on the basis of your explicit consent given when you send the documents (Article 9(2)(a)) or where it is necessary for the establishment, exercise or defence of legal claims (Article 9(2)(f)).
  • To keep accounting and tax records — legal obligation (Article 6(1)(c)).
  • To run, secure and improve our website — our legitimate interests in operating a secure, working website (Article 6(1)(f)). Non-essential analytics cookies are used only with your consent where PECR requires it.

We do not sell your personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.

4. Our website assistant (AI chat)

Our website has an AI assistant, clearly labelled as such, that answers general questions about our services in English, Portuguese and Spanish. It does not give legal or immigration advice and does not accept documents.

  • The assistant asks for your contact details only if you want a quote, and only after you agree to a short consent notice. If you do not agree, nothing is saved and you can contact us by WhatsApp, phone or email instead.
  • Conversations are deleted automatically after 30 days. Your IP address is stored only in an irreversible (hashed) form for abuse prevention. The assistant does not set cookies or store data in your browser.
  • The assistant is provided for us by VaultLayer AI Ltd (UK), which hosts it and our enquiry records under a data processing agreement. Replies are generated by AI language models through VaultLayer’s technology sub-processors, which may process your messages outside the UK under appropriate safeguards (see section 6).

5. Who we share your data with

We share personal data only where needed to provide our service, with:

  • our translators and proofreaders, who are bound by confidentiality;
  • VaultLayer AI Ltd, for our website assistant and enquiry records (CRM);
  • our website hosting, email delivery and IT support providers;
  • Google, for website analytics and search performance (Google Analytics and Search Console via Site Kit), and for the Google reviews widget and website translation widget shown on our site;
  • WhatsApp (Meta), when you choose to contact us on WhatsApp — WhatsApp’s own privacy policy applies to that service;
  • couriers or Royal Mail, when you ask for hard copies to be delivered;
  • our accountants, and authorities where the law requires it.

We only send your documents to the organisation you are applying to (for example the Home Office or a university) if you ask us to.

6. International transfers

Some of our providers (for example Google, Meta and AI model providers) may process data outside the UK. When this happens, we rely on UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement / Addendum, together with appropriate security measures.

7. How long we keep your data

  • Website assistant conversations: 30 days.
  • Enquiries and quotes that do not lead to an order: up to 24 months after our last contact.
  • Documents you send for translation and the translations we produce: only for as long as needed to complete the job and deal with follow-up requests, and no longer than 6 years.
  • Invoices and accounting records: 6 years, as required by HMRC.

8. Cookies

Our website uses cookies that are strictly necessary for it to work and for security. With your consent, it also uses analytics cookies (Google Analytics) to understand how visitors use the site. You can withdraw or change your consent at any time, and you can block or delete cookies in your browser settings. Blocking analytics cookies does not affect your use of the site.

9. Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict or object to our use of your data;
  • data portability;
  • withdraw your consent at any time, without affecting processing that took place before you withdrew it.

To exercise any of these rights, email info@tjurado.com. We will reply within one month. There is no charge in most cases.

10. Security

We protect your data with access controls, encrypted connections (HTTPS) and confidentiality obligations for everyone who handles your documents. Please send documents only through the channels listed on this website.

11. Complaints

If you are unhappy with how we use your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
